CLEANER & SUB-CONTRACTOR ONBOARDING AND KYC POLICY
1. Purpose
This Policy sets out the onboarding, identity verification and Know Your Customer (KYC) procedures followed by Bright Delight Cleaners Ltd before engaging any cleaner or self-employed sub-contractor.
The purpose of these procedures is to:
- verify identity;
- verify the legal right to work in the United Kingdom;
- reduce fraud;
- comply with applicable legislation;
- protect customers and the business.
2. Scope
This Policy applies to all cleaners, self-employed contractors and other individuals engaged to deliver cleaning services on behalf of Bright Delight Cleaners Ltd.
No cleaner is allocated work until all mandatory onboarding requirements have been completed and approved.
3. Identity Verification
Each applicant must provide satisfactory proof of identity.
Acceptable documents include government-issued photographic identification such as:
- Passport;
- UK Driving Licence;
- Biometric Residence Permit (where applicable).
Identity documents are reviewed before onboarding is approved.
4. Right to Work Verification
Before any cleaner is engaged, Bright Delight Cleaners Ltd verifies the individualβs right to work in the United Kingdom in accordance with applicable immigration legislation.
Where appropriate, evidence is checked using the Home Office online verification service or original documentation.
5. Address Verification
Applicants are required to provide proof of their current residential address.
Examples include:
- utility bill;
- bank statement;
- council tax statement;
- other acceptable proof of address.
6. Self-Employment Verification
Where cleaners operate as self-employed contractors, Bright Delight Cleaners Ltd may request evidence including:
- UTR (Unique Taxpayer Reference);
- National Insurance Number;
- Public Liability Insurance;
- business bank account details;
- DBS certificate (where applicable).
7. Competency Assessment
Applicants may be required to complete:
- an interview;
- practical cleaning assessment;
- induction training;
- health and safety briefing;
- customer service training.
8. Contract Documentation
Before work is allocated, cleaners must sign the appropriate contractual documentation, including:
- Self-Employed Sub-contractor Agreement;
- Confidentiality Agreement;
- Data Protection obligations;
- Health & Safety acknowledgement;
- Company Policies.
9. Record Keeping
Bright Delight Cleaners Ltd securely retains onboarding records in accordance with UK data protection legislation.
Access is restricted to authorised personnel only.
10. Data Protection
All personal information collected during onboarding is processed in accordance with the UK GDPR and the Data Protection Act 2018.
Personal identification documents are not disclosed to third parties unless required by law or with the individualβs consent.
11. Ongoing Monitoring
Bright Delight Cleaners Ltd reserves the right to request updated documentation where:
- identification expires;
- insurance expires;
- legal requirements change;
- periodic compliance reviews are undertaken.
12. Compliance
No cleaner or contractor may undertake work on behalf of Bright Delight Cleaners Ltd until all required onboarding checks have been completed successfully.
